Booking terms & conditions

1. Booking & payment

• Direct bookings must be made at least 24 hours before the scheduled session starts, Japan Standard Time (JST, UTC+9).
• Full payment must be completed to confirm your booking.
• Accepted payment methods: credit card, Link and Apple Pay.
• Your booking is confirmed only once payment has been received and we have sent you a confirmation.

2. Cancellation & refunds

If you cancel: cancel at least 24 hours before the scheduled start time (Japan time) for a full refund. One free date change by the same deadline, subject to availability. Less than 24 hours before: no refund and no free date change. No-show: no refund and no rescheduling.

If we cancel for unsafe conditions (typhoon, heavy rain or snow warning, lightning, strong wind, trail closure, volcanic alert): you choose a full refund or a new date.

Bookings made through Airbnb, Viator, GetYourGuide or Klook follow that platform's policy. Bookings already confirmed before 12 October 2026 keep the terms they were booked under.

All deadlines use the time we receive your request and the scheduled tour start in Japan Standard Time (JST, UTC+9). Sessions go ahead in light rain when conditions are safe. A new date is subject to availability; your refund choice is not.

3. Health & fitness

• Our sessions take place on real forest terrain, which can be uneven, steep or remote depending on the walk you choose.
• You must be in good enough physical condition for the session you have booked, and you must tell us in advance about any medical condition relevant to your safety — for example heart conditions, mobility limitations, severe allergies, or pregnancy.
• We may decline participation if we believe someone's health places them or the group at risk.
• If you are unsure which session suits you, ask us before booking. Our gentler walks lose none of the practice.

4. Safety & liability

• Walking in forest and mountain terrain carries inherent risks, including slips and falls, changing weather, and encounters with wildlife and insects.
• You must follow your guide's instructions at all times.
• Coconuts Hike Japan is not liable for injuries or accidents; for lost, stolen or damaged personal belongings; or for delays and itinerary changes caused by circumstances outside our control.
• Travel insurance, including medical and evacuation cover, is strongly recommended.

5. Weather & itinerary changes

Sessions may be modified, postponed or cancelled because of typhoons, heavy rain or snow, or government warnings such as volcanic activity or trail closures. Hakone's mountain weather changes quickly, and we would always rather adapt than push through something unsafe.

6. What to bring

• Required: proper walking or hiking shoes, and water.
• Recommended: a rain jacket, a warm layer, sun protection, and trekking poles for the steeper walks.
• Ground rest is part of every session. We provide the mats.

7. Conduct

Disruptive behaviour — including alcohol abuse or ignoring safety instructions — may result in removal from the session without a refund.

8. Respect for the forest

We follow Leave No Trace principles. Please carry out everything you carry in, and do not disturb wildlife or plants. The forests we walk in are working, living places, and some of the trees are older than the country's modern history.

9. Photography

Aki brings his camera on every tour and provides photos to guests who would like them and consent to being photographed. Forest bathing focuses on the experience, so fewer photos may be taken. You are welcome to decline photography; we respect your choice. If we would like to take photographs or video for promotional use, we will ask for your consent. You may decline, and we will not use identifiable images of you without permission.

10. Your personal information

Personal data is handled in accordance with Japan's Act on the Protection of Personal Information (APPI). See our Privacy Policy for details.

Acknowledgement

By booking, you confirm that you have read and accept these terms, that you are physically fit for the session you have chosen, and that you understand and accept the risks involved.
